• Business details about your enquiry: the materials you buy or sell, quantities, destination or loading location, and similar trade information.
• The messages you send us, including WhatsApp messages and any documents or photos you share (for example a company registration certificate or material photos).
• Basic website data such as pages visited and browser type, collected by our website hosting (Cloudflare). We do not use advertising or tracking cookies.

2. How we use it

• To answer your enquiry and connect you with the right member of our sales or procurement team.
• To send you quotations, offers and information about materials you have asked about.
• To check suppliers (supplier verification and quality checks) before we trade.
• To keep records of our business communication and improve our service.

3. WhatsApp and automated replies

When you message our WhatsApp business number, an automated assistant may answer first to understand your requirement before passing your enquiry to a team member. Your messages are processed through the WhatsApp Business Platform (Meta) and an AI service provider (Anthropic) solely to read and reply to your messages. Full chat histories are kept in our systems only as long as needed to handle your enquiry; a summary is kept on your customer record.

4. Who we share it with

We do not sell your personal information. We share it only with:

We never share one customer's details with another customer, and we do not share buyer details with suppliers or supplier details with buyers.

• Service providers that run our systems on our behalf (website hosting, email, database hosting, WhatsApp Business Platform, AI processing), under their own confidentiality and security terms.
• Logistics, inspection or payment partners where needed to complete a trade you have agreed to.
• Authorities where required by law.

5. How long we keep it

We keep business contact and trade records for as long as we have a business relationship with you and as required for accounting and legal purposes. You can ask us to delete your information at any time (see below).

You can ask us to see, correct or delete the personal information we hold about you, or to stop sending you offers. Email us at the address below.

7. Data deletion

To request deletion of your data, including data received through WhatsApp or Facebook, email sumair@polymerinstock.com with the subject "Delete my data" and the phone number or email you used. We will confirm deletion within 30 days.

We protect your information with access controls, encrypted connections and limited staff access.
